Auxiliary Aid Plan
Policy and Procedure

I. POLICY

Mover of Mountains Nonprofit Corporation (MOM) shall ensure that communication with individuals with disabilities is as effective as communication with others. MOM will provide appropriate auxiliary aids and services to qualified individuals with disabilities when necessary to afford them an equal opportunity to participate in and benefit from the programs, services, and activities offered.

Auxiliary aids and services will be offered free of charge and in accordance with the Americans with Disabilities Act (ADA), Section 504 of the Rehabilitation Act of 1973, and Title VI of the Civil Rights Act of 1964.

II. DEFINITIONS

Auxiliary Aids and Services include qualified interpreters, notetakers, transcription services, written materials in alternate formats (e.g., Braille, large print), assistive listening devices, or other effective methods of making spoken or written information available.

Limited English Proficiency (LEP): Refers to individuals who do not speak English as their primary language and who have a limited ability to read, speak, write, or understand English.

III. PERSONS ENTITLED TO AUXILIARY AIDS

Auxiliary aids and services shall be provided to:

- Applicants, participants, and beneficiaries of MOM programs
- Parents or guardians of minors served
- Individuals with LEP or who are deaf, hard of hearing, blind, or have other sensory or cognitive disabilities

IV. TYPES OF AUXILIARY AIDS AND SERVICES OFFERED

MOM shall ensure that appropriate aids and services include but are not limited to:

- Sign language interpreters (in-person or video remote)
- Computer-assisted real-time transcription (CART)
- Written materials in large print, Braille, audio, or accessible digital formats
- Readers or notetakers- Qualified bilingual staff or interpretation services
- TTYs, amplified phones, or captioned telephones

V. NOTICE TO INDIVIDUALS

Notification of the availability of auxiliary aids and services will be:

- Posted in visible locations at MOM events and facilities
- Included on the MOM website
- Provided in program materials

All notices shall include the following:

“Auxiliary aids and services are available upon request at no charge for individuals with disabilities or language barriers. Please contact Hyacinth Harley at h.harley@moverofmountains.org or [insert phone number] to request assistance.”

VI. PROCEDURE TO REQUEST AUXILIARY AIDS

1. Advance Notice Preferred: Requests should be made at least 48 hours in advance of the event or need.
2. Submission Methods: Individuals may request aid via phone, email, or in person with any MOM staff.
3. Coordination: The Accessibility Coordinator shall be responsible for assessing, approving, and arranging appropriate accommodations.
4. Urgent Requests: MOM will make reasonable efforts to fulfill last-minute or walk-in requests as capacity permits.

VII. PROCEDURE TO FILE COMPLAINTS

Individuals who feel they were denied access to services due to the lack of auxiliary aids may file a complaint by:

- Submitting the concern in writing or verbally within 30 days of the incident

Complaints will be addressed within 15 business days of receipt, and corrective actions will be documented.

VIII. STAFF TRAINING

All MOM staff and volunteers will be trained at least annually on:

- This Auxiliary Aid Plan
- Proper protocols for handling requests
- Non-discrimination obligations under ADA, Section 504, and Title VI

IX. RECORDKEEPING

MOM shall document all requests and fulfillment of auxiliary aids, including:

- Type of aid requested and provided
- Date of request and delivery
- Name of staff member responsible

Records shall be maintained for a minimum of three years.

X. NON-DISCRIMINATION AND RETALIATION PROHIBITION

No individual shall be denied services or discriminated against for requesting auxiliary aids or services. Retaliation of any kind is strictly prohibited and may result in disciplinary action.
